JLV COA Governing Documents – Voting Schedule – Updated

Here is the updated (4/10/26) proposed schedule for Membership approval of the updated Governing Documents.

April 15th – Official packet of information will be distributed by Get Quorum (email) and mailed by the US Postal Service – Advanced e-Voting and e-Proxy signatures will be open through Get Quorum immediately. We ask all Members to sign the Proxy; that way you will be counted toward attending the meeting and allow us to get a full quorum for the meeting.

Included in the Packet:

  • Cover letter – explaining the process.
  • Copies of the three (3) Parts that make up the Governing Docs for your review:
    • Amended and Restated Articles of Incorporation
    • Amended and Restated By-Laws
    • Amended and Restated Declaration of Condominium
  • Limited Proxy -This is a Proxy for this vote only and you should sign it if you vote or not.
    • You may sign to be present as part of the 50% quorum that is needed.
    • You may sign to allow the Secretary of the Association to vote on your behalf.
    • You may sign to allow any specific Member to vote on your behalf.
  • The Ballot – If you didn’t assign anyone to vote for you in the proxy – you can vote YES or NO to accept each of the new Governing Docs in three parts.

April 22nd – Townhall type Zoom meeting to discuss the changes in the DOCS. 6PM start: Zoom details to follow. This is not a Board Meeting just a question-and-answer session.

May 20th – Board Meeting to tally the Votes for the updated DOCS at Triton & on Zoom. Zoom details to follow. The deadline for all ballot votes (mail and in-person) is the meeting start time 6pm. All members welcome – sorry no tenants or non-members.

Upon approval, the new JLV COA governing documents will be submitted for record filing by our lawyer to the Clerk of the Circuit Court & Comptroller, Palm Beach County.

Please note that our attorney serves as legal counsel for the entire JLV COA and all its members. His role is to represent the best legal interests of the membership as a whole. He is not the Board’s personal attorney—he is the COA’s attorney.

To make it easy to understand nothing has been removed from the original documents; instead, text changes have been made as follows: words that will be removed will be crossed out, words to be added will be underlined, and existing words that will remain will be left in place.
